Job Description
Our company is currently looking for an experienced Office Administrator. This position will play an integral role in the customer service and organizational strength of our company. The Office Administrator will provide administrative support, greet, and direct visitors, and answer and respond to calls and emails. Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi-task, and a friendly demeanor. This position has growth potential and can transition to the Office Manager if the employee meets the expectations of that position.
Responsibilities:
• Conduct clerical duties, including filing, answering phone calls, responding to emails, and preparing documents
• Coordinate project deliverables
• Perform accounting tasks, including invoicing, purchase orders, and budget tracking
• Create Jobs, estimates, and sales orders in QuickBooks
• Enter accounts payables and accounts receivables in QuickBooks
• Monitor the production employees
• Update daily job schedule
• Sort and organize job tickets and prepare for data entry
• Track labor hours and material ordering and consumption
• Edit and approve employee time through TSheets
• Gather estimated vs. actual labor hours and materials
• Update tracking systems accordingly to ensure accurate/real-time information
• Schedule meetings and travel arrangements for senior members of the company
• Provide administrative support for the operations team
Skills and Education:
• Associate degree or higher preferred (but not required)
• 2+ years’ experience working in an office setting
• Excellent written and verbal communication skills
• Strong knowledge of QuickBooks software (Enterprise Desktop Version)
• Ability to multi-task and prioritize projects
• Customer-service oriented
• Able to complete complex administrative tasks with minimal supervision
